How can I archive/graduate all classrooms in the District or School?

ClassTag recommends archiving/graduating classrooms when they are no longer needed for communicating with families. Archived classrooms don’t produce any notifications and don’t take up space in the user interface so it’s easier to navigate the platform.

Below are important details about archived classrooms:

  1. Can only be archived by class administrators. A classroom can only be archived by its administrators - Teachers, School Staff members with Rostering Administrator permission, and District Staff members. An archived classroom is archived for all its members. Parents cannot archive classrooms for themselves.

  2. Are only displayed in Account Settings. Archived classrooms are only displayed in the Account Settings of their teachers and guardians.

  3. Are not for use. Archived classrooms help to preserve historic information and are not intended for real use due to various restrictions.

  4. Can be unarchived. An archived class can be unarchived by its teacher anytime. No information is lost if you archive and unarchive a class.

  5. Can be archived even if managed by the synchronization. Classrooms that take part in automated roster synchronization can be archived manually. This fact may be used to archive extra classrooms on ClassTag if Student Information System (SIS) overshares classes. Before you archive classrooms, please keep in mind that the next sync may unarchive them if the Unarchive classrooms that reappear in the roster data sync setting is enabled, and your SIS still sends these classrooms to ClassTag.

Depending on your role on ClassTag, you may have access to several ways to archive classrooms.

Archiving Classrooms Depending On Your Role

There are several distinct roles that a user may have on ClassTag. Please see this section to learn what options for archiving classrooms are available to you and staff members in your organization.

District Staff

As a District Staff member, you may:

1. Archive all classrooms in all schools

2. Archive all classrooms in a school

3. Archive individual classrooms in a school

School Staff

As a School Staff member with the Rostering Administrator permission, you may:

1. Archive all classrooms in your school

2. Archive individual classrooms in your school

Classroom Teacher

As a Classroom Teacher, you may:

1. Archive individual classrooms that you teach

Ways To Archive Classrooms

There are several ways to archive classrooms on ClassTag. Some of them allow you to archive classrooms in bulk, others are for archiving individual classrooms. Please see this section to learn more about it.

Archive All Classrooms In All Schools

As a district staff member, you may archive all classrooms in all your schools in one go. Please note that this feature is only available for ClassTag Connect districts and only archives classrooms in ClassTag Connect schools.

  1. Open the Schools page in your district

  2. Click the three dots, click Archive All Classrooms

  3. Click Archive to confirm the action

Note: this action archives all classrooms, but sync-managed classrooms may be unarchived if roster synchronization is enabled, your SIS/Clever/ClassLink still sends classrooms to ClassTag and the Unarchive classrooms that reappear in the roster data sync setting is enabled.

Archive All Classrooms In A School

As a school staff member with the Rostering Administrator permission or a district staff member, you may archive all classrooms in a school in one go. Please note that this feature is only available in ClassTag Connect schools.

1. Open the Classrooms page in your school.

2. Click the three dots, and click Archive Classrooms.

3. Click Archive to confirm the action.

Note: this action archives all classrooms, but sync-managed classrooms may be unarchived if roster synchronization is enabled, your SIS/Clever/ClassLink still sends classrooms to ClassTag and the Unarchive classrooms that reappear in the roster data sync setting is enabled.

Archive Individual Classrooms In A School

As a classroom administrator - class teacher, a school staff member with the Rostering Administrator permission, or a district staff member, you may archive individual classrooms.

1. Open the Classrooms page in your school.

2. Find the class you want to archive, click the three dots, and click Archive This Class.

3. Click Archive to confirm the action.

Note: this action archives any classroom, but sync-managed classrooms may be unarchived if roster synchronization is enabled, your SIS/Clever/ClassLink still sends classrooms to ClassTag and the Unarchive classrooms that reappear in the roster data sync setting is enabled.

Archive Individual Unschooled Classrooms

As a classroom teacher, you may archive your own classrooms.

1. Open the Settings page from the ellipses on the class header.

2. Click Graduate.

3. Enter a message for parents (optional).

4. Click Graduate.

5. Enter your email or mobile phone number, and click Confirm.

Once you confirm archiving, a pop-up window will appear indicating that the archiving is in progress. It may take up to a few minutes to archive a lot of classrooms. Please refresh the page to see the results.
