If you are setting up automated roster synchronization for your school or district, this article will explain how one of the synchronization settings works.

If you haven't set up automated roster synchronization between your SIS and ClassTag yet but want to learn more, please read this article.

Allow the sync to update contact details of active users

As a school or district leader, if you set up automated roster synchronization with Clever, ClassLink or OneRoster CSV files for your organization, you get access to the "Allow the sync to update contact details of active users" setting. It is found on the SIS Rostering page in your school or district settings - depending on where the sync is set up.

This setting controls who can update name, email address, and phone number of users who have successfully joined ClassTag. Until they join, their contact details are always updated by the sync.

If the setting is turned ON, then only the daily sync can change user contact details. Meaning that any change should happen in your Student Information System (SIS) first. After a sync cycle, this change will be reflected on ClassTag. Users will receive email or SMS notifications about the update.

If the setting is turned OFF, then users themselves and the school's staff members with the Users Manager permission can make changes to user contact details.

How it looks for users

When the setting is turned ON, users can't change their contact details and see a message about it when they join, or when they visit account settings.

How to know who changed their contact details

If you choose to keep this setting OFF, there is a way for you to know who changed their email address or phone number on ClassTag.

To do that, you need to open the SIS Rostering page from your school or district settings (depending on how the automated sync is set up) and download the most recent sync report for Users.

When you open the report, you may sort it by notes column and look for notes that say "Active user has a new email in the SIS import - <actual ClassTag email>."

If a user's phone number is different from what is in your data, you will see this information too.
